Your information, in plain words.
This page explains what personal information Propli collects, why we collect it, who sees it, and what you can ask us to do.
This policy describes how Propli works today. It is being reviewed and will be updated. Effective 20 September 2026.
The short version
- We collect only what we need to run your account and the property records you keep in Propli.
- We do not sell personal information and we do not use it for advertising.
- A few services help us run Propli, and they are listed below with what they can see.
- Buyers only hear from us if they ticked a consent box, and they can stop at any time.
- You can ask us for a copy of your information, to correct it, or to delete it.
Who is responsible
Propli is not a registered company yet. It is being set up, and until that is done the team behind it is responsible for your personal information. When the company is registered, this page will name it and its registration number. Our Information Officer is [INFORMATION OFFICER NAME], and you can reach them at [PRIVACY EMAIL ADDRESS].
When you keep tenant, lease or buyer records in Propli, you decide what to store. We process those records on your behalf so the software works.
What we collect and why
| Who | What we hold | Why |
|---|---|---|
| People with an account | Name, email address, company name, role, and a one-way hash of the password. | To create and secure the account. |
| Tenants and lease records | What you enter: names, contact details, ID number, lease terms, invoices, payments, inspections and maintenance. | So you can run your properties. |
| Rental applicants | When someone applies: name, phone, ID number, employer and an ID document. | So you can consider the application. |
| Buyers on a listing | Name, email, phone, their message, their budget and area preferences, and the time they gave consent. | To match them to listings, only if they consented. |
| Waitlist visitors | Email address. | To send a confirmation and tell you when a place is ready. |
| Documents | Files you upload, such as leases, statements and photos. | So they sit against the right property. |
| Website visitors | Page views, through Vercel Analytics, which does not use cookies to track visitors. | To see which pages are used. |
What we do not do
- We do not sell personal information.
- We do not use personal information for advertising, and Propli contains no advertising trackers.
- We do not message a buyer who has stopped.
How long we keep it
- We keep records for as long as the account exists. There is no automatic deletion schedule built into the product yet.
- Deleting a document removes the file from storage.
- A buyer who stops is marked as stopped and is never contacted again. We keep their details so we can honour that.
- To have information deleted, contact the Information Officer and we will do it by hand.
Your rights
Under the Protection of Personal Information Act (POPIA) you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct information that is wrong or out of date;
- delete information we no longer need;
- stop using your information, or withdraw a consent you gave.
Email [PRIVACY EMAIL ADDRESS] to do any of this. If you are not happy with how we respond, you can complain to the Information Regulator of South Africa.
